Participant Agreement, Policies & Procedures

 

🤝 PARTICIPANT AGREEMENT & ACKNOWLEDGMENT

By submitting this application, I understand that it will be reviewed by the leadership of East Gate Kingdom Fellowship (EGKF), who will determine whether I am approved to participate in this mission assignment.

If accepted, I agree to the following:

✅ Participation Commitment

• I will participate in and prioritize all required meetings, trainings, orientations, and preparation activities. These requirements are mandatory for participation.

💰 Fundraising Commitment

• I will actively assist in raising the funds required for the mission assignment through fundraising methods approved by EGKF.

🎁 Understanding of Donations

• I understand that all donations are charitable contributions made to EGKF and are not personal gifts to me. All donated funds become the property of EGKF upon receipt and remain under its exclusive discretion and control in accordance with IRS regulations governing charitable organizations.

📌 Withdrawal or Removal

• If I withdraw, am unable to participate, or am removed from the team, all funds raised on behalf of this mission assignment are non-refundable and will remain with EGKF to further its charitable and ministry purposes. If donations exceed the budgeted needs of a specific trip or project, EGKF may apply those funds to other ministry initiatives consistent with its mission.

✈️ Travel Risks

• I understand that mission travel involves physical, emotional, spiritual, and environmental risks, and I agree to follow the direction of the assigned trip leaders at all times.

⚠️ Team Conduct

• I understand that EGKF reserves the right to remove me from the team before or during the mission assignment if my conduct, health, safety, or actions are determined to jeopardize myself, another participant, the effectiveness of the ministry, or the integrity of the team. Decisions of the leadership team are final.

📝 Certification

• By submitting this application, I certify that the information I have provided is accurate and complete and acknowledge that I have read, understood, and agree to abide by the following Policies and Procedures.

 

📖 POLICIES & PROCEDURES

East Gate Kingdom Fellowship is a nonprofit organization recognized by the Internal Revenue Service as a tax-exempt organization under Section 501(c)(3) of the Internal Revenue Code.

 

💵 REFUND & DONATION POLICY

Because contributions to EGKF are charitable donations:

❌ All donations are non-refundable.

🏛️ All donated funds become the exclusive property of EGKF upon receipt and remain under its complete discretion and control to further its charitable, religious, and educational purposes.

If a participant raises funds beyond the cost of a mission assignment, withdraws from the trip, or if a project becomes overfunded or cannot be completed due to circumstances beyond EGKF's control, donated funds may, at EGKF's discretion:

🔹 Be held for one future mission year.

🔹 Be applied to another approved participant.

🔹 Be redirected to the current mission project.

🔹 Be used for other ministry initiatives that further the mission of East Gate Kingdom Fellowship.

🌎 Mission schedules, itineraries, and ministry activities are subject to change because of weather, political events, public health concerns, airline availability, or other unforeseen circumstances.

📈 EGKF reserves the right to adjust trip costs if transportation or operating expenses increase significantly.

 

💳 FEES & PAYMENT INFORMATION

💲 $500 USD non-refundable deposit required to reserve your place.

🛫 Participants added after international airfare has been purchased will incur a $100 administrative fee.

🎟️ Changes requested after airline tickets have been issued will incur a $100 administrative fee, plus any airline-imposed fees.

📄 Required documents (applications, recommendations, passport information, visa documents, etc.) must be submitted by the published deadlines.

⏰ Late submissions incur a $100 late fee.

🏦 Returned checks are subject to a $25 processing fee.

💵 All prices are listed in U.S. Dollars and are subject to exchange rates and travel cost fluctuations.

 

❤️ CONTRIBUTIONS & TAX DEDUCTIBILITY

To qualify as tax-deductible charitable contributions:

✔️ Checks must be payable to East Gate Kingdom Fellowship.

✔️ Include the participant's name and mission assignment designation.

✔️ Checks must be dated with the current date (no postdated checks).

🚫 Cash donations are discouraged because donor receipts cannot always be verified.

📜 Donations are solicited with the understanding that EGKF maintains full discretion and control over their use as required by IRS regulations.

 

❌ CANCELLATION POLICY

✈️ Participants who cancel after airline tickets have been purchased are responsible for:

• All non-refundable travel expenses

• Airfare

• A $200 cancellation fee

📅 Participants who withdraw before ticket purchases will not incur cancellation charges beyond the non-refundable $500 deposit.

💙 Remaining eligible mission funds may be retained by EGKF and applied in accordance with the Refund & Donation Policy.

 

🚭 DRUGS & ALCOHOL POLICY

To maintain a Christ-centered witness and ensure the safety of all participants:

🚫 Alcohol

🚭 Tobacco products

💊 Illegal drugs

⚠️ Controlled substances not prescribed to the participant

...are strictly prohibited during any EGKF mission assignment.

Violation of this policy may result in immediate dismissal from the team at the participant's expense and without refund.

 

🛡️ TRAVEL INSURANCE

 For U.S. residents, EGKF provides basic travel insurance coverage for approved mission assignments.

➕ Participants are encouraged to purchase supplemental insurance if additional coverage is desired.

 

🔒 PRIVACY POLICY

📋 Information We Collect

We collect personal information voluntarily submitted through:

• Applications

• Donation forms

• Event registrations

• Communication platforms

This may include names, addresses, phone numbers, email addresses, and other information necessary to administer ministry activities.

 

📌 Use of Information

We use information to:

📄 Process applications and donations

📧 Communicate ministry updates and mission information

✈️ Coordinate travel and ministry activities

⚖️ Comply with legal and financial reporting requirements

 

🤝 Information Sharing

EGKF does not sell, rent, or trade personal information.

Information may be shared only with trusted service providers when necessary to operate ministry functions or as required by law.

 

🔐 Data Security

Reasonable administrative, technical, and physical safeguards are maintained to protect personal information from unauthorized access or disclosure.

 

👨‍👩‍👧 Children's Privacy

EGKF does not knowingly collect personal information from children under the age of 13 without appropriate parental or guardian consent.

 

🔄 Policy Changes

This Privacy Policy may be updated periodically.

Continued use of EGKF services constitutes acceptance of any revised policy.
